Job Description:
The Senior Facilities Associate is an intermediate-level professional responsible for supporting facilities-related activities and operational initiatives. This role plays a key role in managing, tracking, and optimizing all physical assets across the site. This role ensures accurate asset lifecycle management, equipment reliability, compliance with company standards, and strong support for maintenance and operational teams.
Working under moderate supervision, the Facilities Senior Associate independently manages larger assignments within their job area, sets objectives aligned with project and departmental goals, and makes basic process or system adjustments to resolve routine operational issues. This role regularly communicates with internal stakeholders, customers, and vendors to explain and interpret operational processes, practices, and procedures.
The ideal candidate brings strong organizational skills, a technical understanding of facility assets, and the ability to drive continuous improvement in asset utilization and data accuracy.
Essential Functions
To meet job demands, must be able to work in a fast-paced environment, be focused and have a highly analytical mindset with extreme attention to detail.
Manage and maintain the asset inventory, including tagging, tracking, audits, and documentation updates.
Ensure accurate data in SAP.
Coordinate asset procurement, transfers, upgrades, and disposals with Facilities, Maintenance, IT, and Procurement.
Prepare asset reports, lifecycle forecasts, and support capital planning.
Analyze asset performance to identify reliability or cost‑improvement opportunities.
Support preventive maintenance scheduling by ensuring asset data is current and complete.
Maintain compliance with company standards and audit requirements.
Qualifications
Bachelor’s Degree and a minimum of 2 years of prior related experience, or Graduate Degree or equivalent and 0 to 2 years of prior related experience, or In lieu of a degree, a minimum of 6 years of prior related experience.
Required Knowledge, Skills, and Abilities
Must be able to obtain a Secret Security Clearance
Must have a financial background or degree in Finance, Accounting, or Business Administration field.
Familiarity with SAP
Practical knowledge of facilities operations and indirect procurement processes.
Ability to work under moderate supervision while independently managing larger, moderately complex assignments.
Strong verbal and written communication skills, with the ability to explain processes and procedures to internal and external contacts.
Ability to identify and address routine operational issues within the immediate job area.
Basic analytical and problem-solving skills with the ability to draw from prior experience and standard procedures.
Ability to contribute to departmental operational targets and project milestones.
Must have Microsoft suite experience
Proficiency with data analysis, reporting tools, and Microsoft Excel.
Desired Skills
Experience in asset management, facilities operations, maintenance planning, or a related field.
Strong understanding of asset lifecycle principles, inventory control, and documentation practices.
Excellent organizational and analytical skills with strong attention to detail.
Ability to collaborate across departments and manage multiple priorities.
