Job Description:
Aerojet Rocketdyne is seeking a highly organized and proactive Executive Administrative Assistant to support our executive team. The ideal candidate will be a detail-oriented professional with exceptional communication skills and the ability to manage multiple priorities in a fast-paced environment. This role requires discretion, confidentiality, and a thorough understanding of the aerospace and defense industry.
This position will report directly to the Space Propulsion & Power Systems (SP&PS) Vice President (VP) of Operations and provide overall executive administrative support for the VP of Operations, Director of Quality and other senior members of the SP&PS team at our Canoga Park, CA location.
This role will require frequent interaction with intra- and inter-organizational contacts, customers, vendors, and representatives of professional organizations and public agencies that will require good diplomacy and judgment to resolve conflicting needs, and ability for discreetly handling sensitive internal and proprietary data. This position may also be involved in meetings in which management-only discussions occur so discretion is required. Will also be responsible for maintaining an inventory of supplies with ordering authority that may eventually include delegated buyer authority.
Essential Functions:
- Provide high-level administrative support to executive team members, including scheduling meetings, managing calendars, and coordinating travel arrangements.
- Prepare and edit correspondence, reports, presentations, and other documents as needed.
- Serve as a liaison between executives and internal/external stakeholders, ensuring effective communication and timely responses.
- Organize and coordinate executive meetings, including preparing agendas, taking minutes, and following up on action items.
- Handle confidential and sensitive information with the utmost discretion.
- Assist with special projects and initiatives as assigned by executives.
- Maintain office supplies and equipment, and manage vendor relationships.
- Perform general office duties such as filing, photocopying, and data entry.
- Support the planning and execution of company events and functions.
Qualifications:
Requires a High School Diploma or equivalent and a minimum of 10 years of prior relevant experience or 2 years post-Secondary/Associates Degree with a minimum of 6 years of prior related experience. Minimum 2 years experience as Senior Administrative Assistant required.
Preferred Additional Skills:
- Prior Aerospace & Space Industry experience.
- Knowledge of Oracle MRP & Sharepoint.
- At least 2 years as a senior administrative assistant.
- Proficiency in Microsoft Word, Excel, PowerPoint, Outlook, Teams & WebEx.
- Strong organization skills and attention to detail.
- Ability to multi-task with frequent interruptions and critical time constraints.
- Demonstrate high level of maturity and confidentiality relating to sensitive information.
- Maintain sensitive documents/files for leaders.
- Assists in analyzing and establishing plans to meet key project objectives, and to identify and resolve issues.
- Assist in monitoring and managing critical department and project information, and schedules.
- Effectively communicate with all levels of management and individual contributors.
In compliance with pay transparency requirements, the salary range for this role in California is $38.46 - $71.15 per hour. This is not a guarantee of compensation or salary, as final offer amount may vary based on factors including but not limited to experience and geographic location.
